How we receive your information

Devitt Insurance Services Ltd is the Data Controller for any personal data you provide to us under the Post Office Money motorcycle insurance scheme.

We may receive personal information about you from any of the following sources:

  • when requesting or obtaining a quote from our website
  • a price comparison website
  • calls to our offices

  • basic personal details such as your name, address, email address, telephone number/s, date of birth and marital status
  • information about your other policies, claims, convictions and health
  • information about your occupation, licence entitlement and any unspent criminal convictions.

Collecting this information is necessary for the purpose of offering you a quotation, you accepting a quotation and for renewal of a policy. By supplying this information/obtaining a quote you provide your consent for us to use the information for the purposes outlined in this privacy policy.

We will generally keep your personal data for a minimum of 7 years, after which time it will be destroyed if it is no longer required for the lawful purpose(s) for which it was obtained.

How we use your information

We will use your information to arrange/renew your insurance policy, including information that is necessary for underwriting and claims handling purposes. This will include disclosing it to the insurer who underwrites the policy you may purchase from us and third party service providers.

Your information comprises of all the details we hold about you and your transactions and includes information obtained from third parties.

We may also share your information with your insurer to help them:

  • assess financial and insurance risks
  • recover debt
  • prevent and detect crime
  • understand our customers’ requirements
  • develop and test products.

Fraud prevention

You must take reasonable care to provide complete and accurate answers to the questions we ask when you take out, make changes to, and renew your policy.

If you provide incorrect or incomplete information then your insurer may cancel your policy, treat your policy as if it never existed, refuse to pay a claim or reduce the amount of any claim payment.

Insurers pass information to the Claims and Underwriting Exchange register to allow them to detect and prevent fraudulent applications and claims.

We may also share your information with law enforcement agencies, other organisations and public bodies where we reasonably believe it is necessary for the prevention and detection of fraud, crime or where required by a court order.

Marketing

If you have agreed to receive marketing communications from Post Office Money they may contact you with regards to any future quotes, products and services that they may feel of benefit to you.

Devitt Insurance Services Ltd does not pass or sell your details to any third party for the purpose of marketing their own products or services.

Credit / Validation checks

To ensure we and your insurer have the necessary facts to assess your insurance risk, verify your identity, help prevent fraud and provide you with our best premium and payment options, we or your Insurer may need to obtain information relating to you at quotation, renewal and in certain circumstances where policy amendments are requested. This may include:

  • checks against publicly or privately available information(such as electoral roll, county court judgements, bankruptcy orders or repossession(s))
  • carrying out a quotation search from a credit reference agency (CRA) which may appear on your credit report and be visible to other credit providers. It will be clear that this is a quotation search rather than a credit application.

Where you wish to apply for credit to pay for your insurance by monthly instalments we exchange your information with credit reference agencies to reflect your credit application. This will be visible to other

credit providers. We do this to assess creditworthiness and product suitability, check your identity, manage your account, trace and recover debts and prevent criminal activity. We will also continue to exchange information about you with CRA’s on an ongoing basis, including about your settled accounts and any debts not fully repaid on time. CRA’s will share your information with other organisations.

In addition we may carry out credit checks in the recovery of outstanding debts, which may show on your credit report.

Please note if the payments under your credit agreement are paid by a third party and the third party misses a payment, it will be your credit rating that may be adversely affected, not the third party’s credit rating.

Telephone call recording

Calls made to us may be recorded for training and compliance. Calls are kept for a period of three years.

Dealing with other people

It is our policy to deal with your spouse or a partner who calls us on your behalf, provided they are named on the policy and we have recorded your permission on our computer system. If you would like someone else to deal with your policy on your behalf, on a regular basis, please let us know. Please note that in order for us to deal with any other person who may call on your behalf, we will need to record your consent. If at any time you would prefer us to deal only with you, please let us know.

Sensitive Information

Some of the personal information we ask you for may be sensitive personal data (such as information about health or criminal convictions). We will not use such sensitive personal data about you or others except for the specific purpose for which you provide it and to provide the services described in your policy documents. Please ensure that you only provide us with sensitive information about other people with their agreement.

Right to be forgotten

You can request the removal of personal data we hold about you at any time. We will only be able to remove such data if we do not need to keep it for legal/regulatory reasons. Changes to our privacy policy

Our privacy policy may be modified from time to time. Any changes will take effect once the revised privacy and security statement is available on the website. This is to ensure that you are always aware of which information we collect and how we use it.

Security

Any personal data saved is held safely on our computer systems, with security systems preventing unauthorised access and we always ensure it is treated confidentially. We use one of the strongest available security systems to protect your communications with us. Whenever you fill in a form, such as a request for a quote, it is automatically protected using something called a Secure Socket Layer (SSL) between your computer and ours. SSL works in the following ways:

It prevents impersonation – you can tell that you are using a genuine SSL site by the padlock symbol at the bottom of the screen. Clicking on the padlock will reveal our Registration Certificate that is issued by GlobalSign Organisation Validation CA, a leading Internet security company. If the padlock symbol is not shown you can check the security of the website by right-clicking on your mouse anywhere on the screen and click ‘Properties’ and then click the ‘Certificates’ tab or ‘Security’ tab depending on the application.

It encrypts data – as soon as your computer has recognised our computer they encrypt all information that is passed between them. Data encryption means that no one else can read or change your information as it travels over the Internet.

It prevents scrambling – SSL uses a Message Authentication Code (MAC) to prevent anyone tampering with our Internet site. Your computer will always check this code before it takes a message from us. This means that if anyone tried to interfere with a message, your computer would not recognise the code and would alert you.
